Administrative Assistant for HS & YA
Part-Time

Department: Family Life
Reports to: Family Life Pastor
Position Summary: Assist the High School and Young Adult Pastors by providing program support and connecting with teens and young adults through activities and weekly services. Programs supported are The Hub (WC ministry to high school students) and The Movement (WC ministry to young adults).
Schedule: Part time, 24 hours week. Varied schedule will include some Tuesday and Sunday evenings and occasional weekends for retreats.

Qualifications:

  • Education: Some post high school education preferred.
  • Experience: Previous administrative experience preferred. Youth and post-high ministry is a plus.
  • License/Certification: Valid PA driver’s license.
  • Specific Abilities: Excellent computer, supervisory, management and interpersonal skills. Effective team player attitude that cooperates with various WC departments.

Duties, Volunteers:

  1. Responsible for training, scheduling, and providing ongoing supervision to ministry team members.
  2. Offer ongoing support to volunteer team leaders.
  3. Process new team members. Communicate the process, check references, and assimilation.
  4. Attend and take minutes at meetings as directed by HS & YA pastors.

Duties, Office:

  1. Audit café cash register.
  2. Keep ministry supplies neat and organized.
  3. Prepare and submit projects to Worship Center’s communications department according to established timelines.
  4. Submit room and building reservations.
  5. Create and update student and volunteer nametags.
  6. Prepare communication as directed.
  7. Update Facebook pages as needed.
  8. Gather receipts to submit credit card bill to Finance office.
  9. Service preparation: message in Media Shout, prepare additional materials as needed.
  10. Design promo pieces as needed.
  11. Prepare and send out bulk mailings.
  12. Maintain updated information in church database.
  13. Update and maintain the ministry websites.
  14. Maintain attendance records.
  15. Keep detailed financial records.

Duties, Retreats/Events:

  1. Responsible for logistics (timelines, meals, lodging, transportation, registration) for retreats and events.
  2. Attend retreats and events as requested by pastors.
  3. Attend at least one Hub service (Sunday 5-10 pm) per month.
  4. Attend at least one Living Room service (Tuesday 5-10) per month.

Duties, Miscellaneous:

  1. Support pastors in any additional items as asked.
